Initial Submission (closed)
The working language of the conference is English. Submit the full paper as PDF using the IEEE templates and the IEEE IES formatting guidelines.
EDST 2015 will accept "research/technical-oriented papers" (6 double-column A4/letter pages, 1-2 overlength papers might be accepted) as well as "research/work in progress papers" (4 double-column A4/letter) pages. Abstracts or extended abstracts are being not accepted.
Technical papers accepted for the Conference may be published in the final technical program, and may be indexed in IEEE Xplore and EI Compendex, subject to final approval by the Conference Technical Committee.
Prospective authors are expected to submit only their own original works. The Conference will verify the originality of manuscripts by comparing them with millions of other articles in databases worldwide. Manuscripts that violate IEEE's publication principles may be rejected. If the violation is deemed severe, then disciplinary actions may also be taken by IEEE.
Submit the PDF version of your regular or special session paper via the IEEE IES Submission system before the deadline.
Wait for the accept/reject message sent to the contact author. If accepted, proceed with final submission. If not, take the reviewer comments as a help to improve your paper for a potential submission to one of the other upcoming CIGRE events or other upcoming IES conferences.
Final Submission (open)
1. Read reviews
Login to the submission system using the paper ID and password (lost passwords can be retrieved) and view reviewers' comments by clicking on the button "View Review Results".
2. Improve your paper and submit final version
Revise the final version to account for reviewers' recommendations. Update the reference list with relevant recent citations from CIGRE/IEEE IES conferences and journals to help the audience appreciate the work in view of CIGRE/IEEE IES scopes of interest. Submit the final version in PDF format, by clicking on the button "Submit Final Version".
Don't forget to provide index terms (8 to 10) taken in the IEEE Taxonomy in order to have your paper referenced accurately in the main scientific data bases.
3. Copyright
Complete the IEEE copyright release process, by clicking on the button "Sign the IEEE Copyright Form" (visible after final version submission). Note: If the final version is further modified and re-submitted, a new copyright release is necessary.
4. Register
Return to the conference website, visit the Registration page and register before the registration deadline. Presenters must register latest by the final submission deadline to have their paper included in the conference proceedings.
Publication policy
The conference will publish and distribute at the conference the Conference Proceedings with copyrighted content. All presented papers will be submitted to IEEE Xplore.
No-show papers are copyrighted and cannot be re-published without permission from the IEEE.
Papers that do not meet all three below requirements (A, B, and C) will be removed after the conference, and will not be submitted to IEEE Xplore. No registration refund will be given in any case.
A. Submit valid material in time
The author must submit the final version of manuscript and IEEE Copyright Form before the due submission deadline. IEEE is very strict about the requirements for PDF files for inclusion in the IEEE Xplore.
We recommend using PDF-Express to check your final version using the code ID: 35723X. The login information is provided at http://www.pdf-express.org.
Please note that PDF-Express is NOT the submission system but only for checking PDFs for compliance!
A common problem is that the standard settings of Adobe PDF Printer do not embed common fonts like Arial etc. Go into Adobe settings and enable embed all and disable do not embed common fonts. These settings embed all fonts: IEEE_PDF_Create.zip, Win7 users should place them into (Please modify path for your system):
C:\Users\YOURNAME\AppData\Roaming\Adobe\Adobe PDF\Settings

B. Pay full registration fee in time
An author must pay a full, regular registration fee before the paper registration deadline. Reduced registration fees (i.e. student registration, etc.) are not considered regular, and will NOT be accepted for paper publication. NOTE: Each full, regular registration entitles an author to publish up to three papers. An additional full registration will be required for up to three additional papers.
C. Present the work
Presentation is defined as one of the following:
By author: Ideally, the primary author or one of the co-authors will attend the conference and present their contribution. This is the classical way of participating in conferences, and authors gain the greatest professional benefits.
By colleague: If the primary author any of the co-authors cannot attend, then a qualified colleague may present the paper. A qualified colleague is one who is familiar with the technical field, and is capable of discussing the issues. The primary author or co-authors would miss the technical interaction, but fulfil professional obligations. NOTE: A full regular registration must be paid even if the qualified colleague is an author of another (different) paper in the conference.
Absent authors: If the author or qualified colleague cannot attend the conference, then the author must notify the Program Chairs (via [email protected]) before August 07, 2015. The absent author must submit his/her work as a poster to the Program Co-Chair (Thomas Strasser, AIT Austrian Institute of Technology, Giefinggasse 2, A-1210 Vienna, AUSTRIA) by post or express mail service no later than 01 September, 2015. The posters themselves have no predefined formatting, but dimensions may not exceed A0 paper size (841mm x 1189mm / 33.1" x 46.8"). Only portrait format is acceptable. Do NOT label the package with a value (e.g., USD 100), otherwise it will be rejected due to customs tax! The conference program committee will review the presentation, and then the poster will be presented. In case the poster is considered non acceptable, then the paper will be considered NOT PRESENTED.
NOTE: A full regular registration fee must be paid, and absent authors may submit only one (1) paper per regular fee.
Authors are kindly requested to meet their session co-chairs in the session room a few minutes before the scheduled time in order to download their presentation to the computer. They have to provide the co-chairs with a Powerpoint or PDF presentation (no presentation template will be provided by the conference, authors have to use their own format), as well as a short (50 words maximum) printed biography. Authors must ensure that all fonts needed are embedded in their presentation files.
The files can be downloaded to the computer from a USB key. The use of the author's computer will not be allowed, in order for sessions to run smoothly.
The length of the presentation is restricted to 20 minutes, including questions. Authors are strongly advised to keep their oral presentation within 15 minutes (about 15 slides) and to allow 5 minutes for discussion with the audience and change of speaker.
