Instructions for Presentation of Papers

Publication policy

The conference will publish and distribute at the conference the Conference Proceedings with copyrighted content. All presented papers will be submitted to IEEE Xplore.

No-show papers are copyrighted and cannot be re-published without permission from the IEEE.

Papers that do not meet all requirements (final submitted paper, signed IEEE Copyright Form, registered and presented paper) will be removed after the conference, and will not be submitted to IEEE Xplore. No registration refund will be given in any case.

Presentation is defined as one of the following:

  1. By author: Ideally, the primary author or one of the co-authors will attend the conference and present their contribution. This is the classical way of participating in conferences, and authors gain the greatest professional benefits.

  2. By colleague: If the primary author any of the co-authors cannot attend, then a qualified colleague may present the paper. A qualified colleague is one who is familiar with the technical field, and is capable of discussing the issues. The primary author or co-authors would miss the technical interaction, but fulfil professional obligations. NOTE: A full regular registration must be paid even if the qualified colleague is an author of another (different) paper in the conference.

  3. Absent authors: If the author or qualified colleague cannot attend the conference, then the author must notify the Program Chairs (via [email protected]) before August 07, 2015. The absent author must submit his/her work as a poster to the Program Co-Chair (Thomas Strasser, AIT Austrian Institute of Technology, Giefinggasse 2, A-1210 Vienna, AUSTRIA) by post or express mail service no later than 01 September, 2015. The posters themselves have no predefined formatting, but dimensions may not exceed A0 paper size (841mm x 1189mm / 33.1" x 46.8"). Only portrait format is acceptable. Do NOT label the package with a value (e.g., USD 100), otherwise it will be rejected due to customs tax! The conference program committee will review the presentation, and then the poster will be presented. In case the poster is considered non acceptable, then the paper will be considered NOT PRESENTED.
    NOTE: A full regular registration fee must be paid, and absent authors may submit only one (1) paper per regular fee.

Oral sessions

Authors are kindly requested to meet their session co-chairs in the session room a few minutes before the scheduled time in order to download their presentation to the computer. They have to provide the co-chairs with a Powerpoint or PDF presentation (no presentation template will be provided by the conference, authors have to use their own format), as well as a short (50 words maximum) printed biography. Authors must ensure that all fonts needed are embedded in their presentation files.

The files can be downloaded to the computer from a USB key. The use of the author's computer will not be allowed, in order for sessions to run smoothly.

The length of the presentation is restricted to 20 minutes, including questions. Authors are strongly advised to keep their oral presentation within 15 minutes (about 15 slides) and to allow 5 minutes for discussion with the audience and change of speaker.
